Jamboree Update #6

Scouts and Parents,

I just wanted to take a few moments and give you an update on
the contingent.

1) 29-30 January Meeting – Stuttgart, Germany – Please note some changes
in the timeline.  Packing list is for a normal cabin camp, nothing
fancy.

** RESCHEDULED FOR the 26th and 27th of Febuary! Update soon!**

We regret to inform you we will be postponing the meeting 2 (Stuttgart location) on 30/31 January 2010 for the National Jamboree contingent. Based on the expected snow of up to 18 inches and driving distances for our scouts in Weisbaden, Ramstein, and Grafenwohr we think the safest option is to delay, to allow maximum participation. The safety of our scouts is, as ever, our primary concern.

In the meantime, check your emails and get going on the troop T-shirt competition, Troop Gateway and other assignments!

**** BASED ON DEMAND WE MAY RUN THE SCOUTS TO THE OA WINTER BANQUET;
PLEASE SEND ME YOUR NAME IF YOU PLAN TO ATTEND; YOU WILL NEED TO
REGISTER WITH THE OA DIRECTLY – WE WILL PROVIDE UP AND BACK
TRANSPORTATION IF WE HAVE A LARGE DEMAND

2)  Buddy System – I have received many requests to have multiple
friends in one patrol.  My initial reaction is to assign randomly – part
of the Jamboree experience is to meet new friends from across TAC and
the nation.  But being a push-over my compromise is THE SCOUTS who wish
to be buddies must send me an email with his friends address in the TO
line, as well telling me there is a mutual agreement that they will be
buddies for the Jamboree.  I NEED INPUTS BY 1 FEB, AFTER THAT PATROL
ASSIGNEMENTS WILL BE MADE.  This does not guarantee tent mates or duty
roster placement (Patrol Leaders will decide) only that those two
mutually consenting scouts will be in the same patrol, if the numbers
work.

*note* I need names by 1 Feb – Same as below, I have three
teams so far, ensure the scouts are arranging this and not the
parents…

3) Uniforms – We will publish a packing list at the end of both
meetings.  Additionally, we will publish an order form for all TAC
National Jamboree participants.  Beginning 17 February these uniform
items will be available for purchase via the TAC Scout Shop only at a
20% discount (basically cost). PLEASE NOTE THIS IS ONLY FOR CAMPING GEAR
AND UNIFORMS RELATED TO THE JAMBOREE – DUE TO THE GENEROUS NATURE OF THE
DISCOUNT PLEASE DO NOT TRY TO EQUIP YOUR ENTIRE TROOP:-)! The generic
order form, attendance list and packing list will be provided for
reference to the scout shop in case you have any questions.  Also, this
discount does not cannot be granted through another council – only TAC,
but they will ship to you if out of council.

*note* Jamboree Uniform order sheet – one time 20% discount for Jamboree
participants only; TAC Scout Shop only; available 17 February

4) Physicals – If you have not received a physical please contact Angela
Watson for assistance. b_awatson@yahoo.com, also ensure you send her a
copy before turning in your completed form to national.

Jamboree Update #5

Parents and Scouters,

As a reminder we have two upcoming meeting for the National Jamboree
Contingent.  One in the UK and one in Germany, per our previous
information we request you make one of the two meetings – unless you
are in the U.S. or Japan – we would not want you to suffer that
expense.

1) The general timeline and sequence of events follow:

2000            Patrol meetings, prepare for campfire
2030            Troop campfire program, led by SPL
2100            Cracker barrel
2200            Taps
2230            SM/ASM meeting

Saturday 16 Jan (UK)  30 Jan (Germany)

0700            Reveille
0800            Breakfast (with patrol guests) and cleanup
0900            Troop assembly
0910-1100    Troop Leadership Training (SM)
1100-1115    Break/leadership game
1115-1145    Jamboree program introduction (AMS1)
1145-1200    Getting Fit (ASM1)
1115-1230    Parent’s meeting – logistics requirements, packing list review
1200-1230    Program (cont’d) {t-shirt competition, gateway competition,
patrol flag, hat competitions)
1230-1330    Lunch by patrol, with guests
1330-1430    Youth Protection Training
1430-1530    Leadership/teambuilding games
1530-1730   (UK only) Campsite logisitics/safety, patrol event
1730           (UK only) Closing/Release – optional departure -
coordinate directly with Mr. Johnson
1530-1730   (Germany Only) Transport to  OA Winter Banquet,
pre-registration/parental approval with Mr. Woughter is required

2) Jamboree Payments – Please be reminded your final Jamboree payment
is due this month to TAC.  The ammount is $305.00 and will go directly
to contingent Jamboree costs.

3) Medical Forms – If you have not recieved your bar coded Jamboree
Medical Form, please do not feel alone.  Only five in our contingent
have recieved them to date.  Our diligent Health/Medical Chair, Mrs.
Watson, has forwarded the below instructions to recieve your form.
Please contact her directly with any issues at b_awatson@yahoo.com.

If the registration was completed prior to October, parents or troop
leaders need to send an email to jamboree.medical@scouting.org and
include the name and member ID (BSA ID number) of you or your son, not
the Jamboree registration code. Due to high volume, please allow up to
two weeks for processing.

Other hints for making this a better experience:

If you did not set up jamboree.medical@scouting.org as a safe sender,
you need to check your junk mail and spam filters now.  Mac users,
please open the medical record with Adobe Reader 9, not in preview
mode.  The password that you will receive is case-sensitive. Many
users have found cutting and pasting the password is easiest for them.
To date we have yet to find a technical issue that does not allow the
medical record to be opened with the assigned password when entered
correctly.
We suggest you download Adobe Reader 9 if you do not have it. It’s
available for free; we consider that pretty
thrifty:http://get.adobe.com/reader.  If you have your spam filter in
place and have not added jamboree.medical@scouting.org to your sender
list, please correct this issue before you ask for another record.
The confidentiality of your information is important to us. Thus, the
medical record is password-protected and encrypted. If you have a .mil
address or a policy in place that does not allow encrypted
password-protected documents to pass, we suggest you update your or
your son’s registration to include a personal e-mail address that will
allow the attachment through. We know the Army is filtering these
records.
If you notice incorrect information after you open the file, type over
it and print out the record. Please complete the record as it was
current at the time the physical exam is performed.  Parents, you
should get a copy of your son’s medical record. If you used the same
e-mail address for both of you, that is why you got two copies.
We understand some of you inadvertently deleted the forms. This is not
a problem. If you cannot recover it, send us an e-mail and we will
resend. We ask your request include the name and member ID of you or
your son, not the registration code. Please request this
viajamboree.medical@scouting.org . Due to high volume, please allow up
to two weeks for processing.

Health and Medical Record form.

I am truly looking forward to seeing everyone at the second contingent
meeting.  Please do your utmost to make one of either of the events.
These events are very important for the scouts to get to know one
another and will greatly enhance their Jamboree experience!
